Introduction

This article discusses how to convert a mailbox to a shared mailbox after the mailbox is transitioned from Microsoft Business Productivity Online Suite (BPOS-S) to Microsoft Office 365. This procedure involves removing the Exchange Online license from the mailbox because shared mailboxes in Office 365 don�t require a license.

Procedure

To convert a mailbox to a shared mailbox after the mailbox is transitioned from BPOS-S to Office 365, follow these steps:
  1. Connect to Exchange Online by using remote PowerShell. For more information about how to do this, go to the following Microsoft website:
  2. Run the following command to set the parameters on the shared mailbox:
    Get-Mailbox <primary SMTP address> | Set-Mailbox �ProhibitSendReceiveQuota 5GB �ProhibitSendQuota 4.75GB �IssueWarningQuota 4.5GB �type shared
  3. Remove the Exchange Online license from the shared mailbox.

If your company has transitioned from BPOS-S to Office 365, you can create resource or shared mailboxes without having to use an Exchange Online license. Be aware that when users work with shared mailboxes, the users must meet the criteria that are listed on the following Microsoft website: A shared mailbox should be assigned an Exchange Online license if your company requires the mailbox to meet any of the following conditions:
  • The shared mailbox must be put on litigation hold.
  • The shared mailbox is larger than 5 gigabytes (GB).
  • An archive mailbox can be enabled for the shared mailbox.
