Text that you type in a box or in a shape is not automatically saved as alternative text in Excel 2007 or in PowerPoint 2007

Symptoms

When you type text in a box or in a shape in Microsoft Office Excel 2007 or in Microsoft Office PowerPoint 2007, the text is not automatically saved as alternative text. Instead, the Alternative text box is blank.

Note This behavior may also occur in the following scenarios:
  • The alternative text for a box or for a shape is saved in a workbook in an earlier version of Excel. Then, the workbook is opened in Excel 2007.
  • The alternative text for a box or for a shape is saved in a presentation in an earlier version of PowerPoint. Then, the presentation is opened in PowerPoint 2007.

Cause

This behavior occurs because of a design change in Excel 2007 and in PowerPoint 2007. Text that you type in a box or in a shape is not automatically saved as alternative text.

Workaround

To work around this behavior, type the alternative text in the Alternative text box. To do this, follow these steps:
  1. Select the text box or the shape in which you want to save alternative text.
  2. Under Drawing Tools, click the Format tab.
  3. In the Size group, click Size and Properties.
  4. Click the Alt Text tab.
  5. In the Alternative text box, type the alternative text for the text box or for the shape, and then click Close.

More information

You can use the steps that mentioned in the Workaround section to see the following problems in Excel 2007 or PowerPoint 2007.
  • When you create a file that including a text box in the previous versions of Excel or PowerPoint, the alternative text is not set and becomes blank in Excel 2007 or PowerPoint 2007.
  • When you create a file that inclucing WordArt in the previous versions of Excel or PowerPoint,the alternative text does not appear in Excel 2007 or PowerPoint 2007.
