Items accumulate in the MRM submission folder when managed folder assistant journal items in an Exchange Server 2007 environment

Symptoms

Consider the following scenario. You schedule a managed folder assistant to run in a Microsoft Exchange Server 2007 environment. The managed folder assistant tries to journal an item that is larger than the maximum submission size. In this scenario, the managed folder assistant does not journal the item, and the item remains in the messaging records management (MRM) submission folder.

Notes

  • When the managed folder assistant runs, one more copy of the item is created in the MRM submission folder. This behavior causes items to accumulate in the MRM submission folder.
  • When many items have accumulated, the overall size of the mailbox may be exceeded. This may prevent a user to send or receive new messages.

Cause

This issue occurs because of an exception in the managed folder assistant when it tries to send a copy that is larger than the maximum submission size. The copy is created by the managed folder assistant when it journals an item. The managed folder assistant does not delete the copy in the MRM submission folder and does not indicate that the original item was processed. Therefore, the same item is processed again and a duplicate copy is created in the MRM submission folder when the managed folder assistant runs.

To resolve this issue, install the following update rollup:
