Users cannot download offline address books in Exchange Server 2003 when you use Microsoft Solution for Hosted Messaging and Collaboration version 3.5

Symptoms

Users cannot download offline address books in a Microsoft Exchange Server 2003 environment. As an administrator, you notice that the offline address book folders do not exist.

This problem occurs if the following conditions are true:
  • There are more than one thousand offline address books in the environment.
  • You are using Microsoft Solution for Hosted Messaging and Collaboration (HMC) version 3.5.

Cause

This problem occurs because the Microsoft Information Store service maintenance procedure marks the folders as unused if the folders are not found in the Active Directory directory service.

After eight days, the Microsoft Information Store service maintenance procedure deletes the folders. If there are more than one thousand offline address books in Active Directory, the Microsoft Information Store service maintenance procedure reads only the first thousand. The rest are marked as unused.

Resolution

Hotfix information

This hotfix must be installed on all Exchange servers that have a public store.

A supported hotfix is available from Microsoft. However, this hotfix is intended to correct only the problem that is described in this article. Apply this hotfix only to systems that are experiencing this specific problem. This hotfix might receive additional testing. Therefore, if you are not severely affected by this problem, we recommend that you wait for the next software update that contains this hotfix.

If the hotfix is available for download, there is a "Hotfix download available" section at the top of this Knowledge Base article. If this section does not appear, contact Microsoft Customer Service and Support to obtain the hotfix.

Workaround

To work around this problem, increase the maxPageSize LDAP parameter from the default value of 1000 to a value that is larger than the number of offline address books in the Exchange Server system.
