"Warning - Payroll is registered for %s employees, currently there are %s. You should purchase and register an Employee Pack before Calculation (02.500.00) is prohibited" error message in the Solomon Payroll module


Symptoms

In the Microsoft Business Solutions-Solomon Payroll module, you receive the following system message in the Employee Maintenance (02.250.00) dialog box, the Time Entry (02.010.00) dialog box, the Time and Dollar Entry (02.020.00) dialog box, or the Calculation (02.500.00) dialog box:
System Message 14010 - "Warning - Payroll is registered for %s Employees, currently there are %s. You should purchase and register an Employee Pack before Calculation (02.500.00) is prohibited."

Cause

You receive this system message when the total number of employees in the database approaches the maximum number of employees. The maximum number of employees is determined by the Payroll registration keys that are entered in the application database. You receive the system message in the Employee Maintenance (02.250.00) dialog box when the number of employees in the database is within 50, 30, 15, or 10 employees of the maximum. You also receive this system message whenever you are within fewer than 10 employees of the maximum.

You receive this system message in the Time (02.010.00) dialog box, the Time and Dollar Entry (02.020.00) dialog box, and the Calculation (02.500.00) dialog box whenever the number of employees in the database is within 10 or fewer employees of the maximum.

Resolution

To resolve this problem, use method 1 or method 2. If you receive the message when you access the Payroll module while you are using a demonstration database, contact the Microsoft Business Solutions Inside Sales Team for additional user packs.

Method 1: Verify that you have enough employee packs

To resolve this problem, verify that you have enough employee packs. Then, contact the Microsoft Business Solutions Inside Sales Team if you need additional employee packs.

To determine the number of employee packs that are required for registration in Solomon, calculate the number of active employees. Use the following formula:
(Salaried employees who have an active status) + (Exception employees who have an active status) + (Hourly employees who have an unpaid time sheet in a specific pay period)
This formula determines the number of employees that your employee pack or employee pack combination must allow for.

Note Any hourly employees with outstanding timesheets and all non-hourly employees with active or hold status are included when determining the number of employees in the database.

Method 2: Obtain registration information

  1. Visit the following Microsoft Business Solutions Web site:You can obtain registration information through CustomerSource or PartnerSource.
    • Click CustomerSource, click the My Account tab, click Product & Service Summary, and then click Registration Keys for the version of Solomon that you are using.
    • Click PartnerSource, and then click the VOICE tab.
    For help signing in to VOICE, contact voice@microsoft.com.
  2. Obtain the registration keys that apply to the version of Solomon that you are using.
  3. Start Solomon, click Utility on the Solomon menu, and then click Registration (95.250.00).

    Note You can still open the Registration (95.250.00) dialog box after the maximum number of accesses has been reached.
    1. Type the information that is required in the Customer tab.

      This information must be typed exactly as it was provided to you.
    2. Click the Modules tab.
    3. Select the appropriate module in the Item field.
    4. Type the serial number and the unlocking key in the correct fields.
    5. Repeat step 3c and step 3d for each module.
    6. Save your changes, and then close the dialog box.

Workaround

You can work around this problem by disabling this system message. To disable this system message, follow these steps.

Warning If you disable this message in the Solomon.ini file, the Payroll Calculation (02.500.00) process is disabled without warning if you pass the maximum number of employees for your employee pack.
  1. Start Windows Explorer, and then locate the Solomon.ini file in the Windows folder.
  2. Open Solomon.ini in a text editor, and then add the following to the [Miscellaneous] section:
    PREmpRegMess=N
  3. Save and then close the file.

The Payroll registration keys are specific to each application database. For example, if a customer has one system database that has three application databases, and the customer has a 150-employee pack, each application database has a 150-employee limit.

Each Payroll registration key is a stand-alone key. There is no base key. For example, the PR075 key is not a prerequisite for a PR150 key or for a PR500 key. More than one Payroll registration key can be used to obtain the employee count that you want. For example, you can use two PR150 keys to obtain a 300-employee count.

The following examples show how the formula that is described in the first method works.
  • In a Microsoft Business Solutions - Solomon Professional Edition Payroll installation, there are 80 employees. For the pay period that ends on 11/15/00, only 70 employees will receive checks. This group of 70 employees includes 50 salaried employees and 20 hourly employees. When you use one of the windows that is described in the "Symptoms" section, you receive system message 14010. But you do not have to purchase an additional employee pack to process payroll. The system message appears because you are close to the employee limit.

    For the pay period that ends on 11/30/00, all 80 employees will receive checks. This group of 80 includes 50 salaried employees and 30 hourly employees.

    The maximum number of employees for the default employee pack in Solomon Professional Edition Payroll is 75 employees. The 11/30/00 pay period requires an employee pack for 80 employees. Therefore, you must purchase and then register one additional employee pack for 75 employees. This combination of two 75-employee employee packs lets you print checks for up to 150 active employees in a pay period.

    Note You can purchase additional employee packs for Solomon Professional Edition Payroll in increments of 75 employees, 150 employees, or 500 employees. An unlimited pack is also available.
  • In a Microsoft Solomon Standard Edition Payroll installation, there are 275 employees. In every pay period, 75 salaried employees and 200 hourly employees receive checks. The default employee pack for Solomon Standard Edition Payroll is for 300 employees. When you use the Employee Maintenance (02.250.00) dialog box, you receive system message 14010. But you do not have to purchase an additional employee pack to process payroll. However, if you hire more employees and if the total number of active employees exceeds 300 in a pay period, you must purchase an addition employee pack. For the Select version of Microsoft Solomon 5.5, you can purchase an employee pack for 300 employees or an employee pack for an unlimited number of employees. For Microsoft Solomon 6.0, you can purchase an employee pack for 75, 150, 300, 500, or an unlimited number of employees.
