Issue

Is there a report to show me what is in fixed assets that has not been interfaced yet?

Resolution

You may create a custom report to show you that information. Follow the steps below.

1. Go into Report Writer, (Tools | Customize | Report Writer). When the Great Plains Dynamics Window opens, select Fixed Assets from the drop down and select OK.

Creating the Report:

2. Click on the Reports icon from the top menu bar.
3. Choose the New button.
4. Name the report FA Interface. Select Financial as the Series and Asset Financial Detail Master as the main table. Check the text report box in the lower left hand corner.

5. In the Report Definition window choose the Tables button.

Tables:
In the Report Table Relationships window, highlight the Asset Financial Detail Master and choose the New button.
Highlight the Asset General Information Master and choose the OK button.

Tables:
In the Report Table Relationships window, highlight the Asset Financial Detail Master and choose the New button.
Highlight the Book Setup and choose the OK button.
Select the Close button.

6. In the Report Definition window choose the Sort button.

Sort:
In the Sorting Definition window, click on the drop down list for the Report Table and select the Asset General Information Master file. In the Table Fields section, highlight the Asset ID and choose the Insert button. Highlight the Asset ID on the right side.

In the Sorting Definition window, click on the drop down list for the Report Table and select the Book Setup file.

In the Table Fields section, highlight the Book ID and choose the Insert button. Highlight the Book ID on the right side.

In the Sorting Definition window, click on the drop down list for the Report Table and select the Asset Financial Detail Master file.

In the Table Fields section, highlight the FA Year and choose the Insert button. Highlight the FA Year on the right side.

In the Sorting Definition window, click on the drop down list for the Report Table and select the Asset Financial Detail Master file.

In the Table Fields section, highlight the FA Period and choose the Insert button.

The Sort by list should show the fields in the following order:

Asset ID of the table Asset General Information Master
Book ID of the table Book Setup
FA Year of the table Asset Financial Detail Master
FA Period of the table Asset Financial Detail Master
Choose the OK button.

6. In the Report Definition window choose the Restrictions button.

Restrictions:
In the Report Restrictions window choose New
Name the restriction Batch ID
In the fields section:
In the fields section, click on the drop down list for Report Table and choose the Asset Financial Detail Master.
Click on the drop down list for Table Fields and choose GL Interface Batch Number.
Choose the Add Field button.

In the operators section:
In the operators section, choose the = button

In the constants section:
In the constants section, click on the drop down list for Type and choose String
Leave the constant field blank.
Choose the Add Constant button.
Choose the OK button.

7. In the Report Restrictions window choose New
Name the restriction Book

In the fields section:
In the fields section, click on the drop down list for Report Table and choose the Book Setup.
Click on the drop down list for Table Fields and choose Book ID.
Choose the Add Field button.

In the operators section:
In the operators section, choose the = button

In the constants section:
In the constants section, click on the drop down list for Type and choose String
Type in the name of the Corporate book in ALL CAPS.
Choose the Add Constant button.
Choose the OK button.

8. In the Report Definition window choose the Layout button
You will want to place fields into the B section. We recommend the Book ID from the Book Setup, Asset ID from Asset General Information, Amount and Transaction Account Type from the Asset Financial Detail Master File. You can also add other fields to the report.

9. To print go to File | Great Plains... Then go to Reports | Customized and choose the product of Fixed Assets.
