Information about how dates affect the Payables Management Historical Aged Trial Balance

SUMMARY

This article discusses the dates that Great Plains Payables Management uses to determine when the document has been fully paid off and is no longer printed on the Historical Aged Trial Balance report.

Invoices will no longer appear on the PM Historical Aged Trial Balance after they have been fully paid off.

The following example contains one invoice and one check and describes the dates that are used when each document is entered:

1. Click Transactions, click Purchasing, and then click Trx Entry. Enter an invoice and post the invoice with a Document Date of 12/4.

2. Click Transactions, click Purchasing, click Select Checks and use the Apply Date of 12/6.

3. Click Print Checks from the Select Checks window and use 12/8 as the check date when you print this check.

4. When the Post Payables Checks window appears, use 12/10 as the Posting Date.

When you print the PM Historical Aged Trial Balance, you can either print by GL Posting Date or by Document Date. When you print this report using a date before 12/8, this invoice appears on the report because neither the GL Posting Date nor the Document Date is before 12/8 and the document is still outstanding.

If you print the PM Historical Aged Trial Balance by GL Posting Date, the document will no longer appear if you print using the date of 12/10 (Posting Date) or later.

If you print the PM Historical Aged Trial Balance by Document Date, the document will no longer appear if you print using the date of 12/8 (Check Date) or later.

This information is contained in the PM30300 table (PM Apply To History) in the DOCDATE and GLPOSTDT fields. In this example, the DOCDATE is 12/8 and the GLPOSTDT is 12/10.
