Error message when you try to delete a batch in the Sales Batch Entry window in Microsoft Dynamics GP: "Some of the documents could not be deleted"

Symptoms

When you try to delete a batch in the Sales Batch Entry window in Microsoft Dynamics GP or in Microsoft Business Solutions - Great Plains, you receive the following error message:
Some of the documents could not be deleted.

Resolution

To resolve this problem, follow these steps:
  1. Verify the type of documents that are saved in the batch. Take note of the document type and of the type ID. To do this, follow these steps:
    1. On the Transaction menu, point to Sales, and then click Sales Batches.
    2. Select the batch ID that you want to delete, and then click the printer icon.
    3. In the Print section, select Batch List, and then click Print.
  2. Verify that the Delete Documents check box is selected for each quote ID, for each order ID, for each back order ID, for each fulfillment order/invoice ID, for each invoice ID, or for each return ID that is saved in the batch. To do this, follow these steps:
    1. In Microsoft Dynamics GP 10.0 or Microsoft Dynamics GP 2010, point to Tools on the Microsoft Dynamics GP menu, point to Setup, point to Sales, click Sales Order Processing, and then click Sales Document Setup.

      In Microsoft Dynamics GP 9.0 or in earlier versions, point to Setup on the Tools menu, point to Sales, and then click Sales Order Processing.
    2. Click one of the following, depending on the documents in the saved batch:
      • Quote
      • Order
      • Back Order
      • Fulfillment Order/Invoice
      • Invoice
      • Return
      Select the appropriate ID for each document type, and then verify that the Delete Documents check box is selected.
  3. Any orders, back orders, fulfillment orders, invoices, or returns that have been printed cannot be deleted. Instead, you must void the documents in the Sales Transaction Entry window. To open the Sales Transaction Entry window, point to Sales on the Transactions menu, and then click Sales Transaction Entry.


    Note To void documents, make sure that the Void Documents check box is selected on the correct type ID for the quote, for the order, for the back order, for the fulfillment order/invoice, for the invoice, or for the return.
  4. If any documents have been partially transferred, you must perform one of the following steps in the Sales Transaction Entry window:
    • Void the document.
    • Cancel the remaining quantities.
Note If an order type ID has a sales deposit assigned (value in the Amount Received field), zero out the field and press the TAB key. The Sales Payment Entry window will appear. Highlight each deposit in the lower section of the window and choose Remove until all are deposits are removed. Click OK to complete. Then Void the document. Any deposits removed from the order will update the Bank Reconciliation module when the Sales Transaction Entry window closes.
