Intrastat file format change from ASCII to XML in the German version of Microsoft Dynamics NAV 2018

Overview

This regulatory update provides an update to functionality that enables submission of Intrastat files to the German Intrastat authorities. Per January 2018, new companies starting business in Germany are only allowed to submit Intrastat by using the XML format. This feature adds the option to export as XML.

In the Intrastat XML file that is generated in Microsoft Dynamics NAV, the Intrastat authority is referenced with various information (Name, address, etc). To enable this information to be editable, it is now possible to use a vendor or a contact as the entity for the Intrastat authority and specify this entity on the Intrastat Setup card. This way to reference the Intrastat authority on the Intrastat Setup card is a W1 feature.

Setup and functionality

Setting up Intrastat (changes)

On the Intrastat Setup card, you must specify the Intrastat contact which can be an entity of either a contact or a vendor. This is done by filling the two fields:

  • Intrastat Contact Type
    Select the type of entity you have created as the Intrastat authority. If you have financial involvement with the Intrastat authority, this would normally be a vendor.
  • Intrastat Contact No.
    Select the specific contact or vendor to use as the Intrastat contact. Information from the selected entity is exported to the Intrastat XML file.

Exporting the Intrastat file

Exporting an Intrastat file is done at the Intrastat Journal by using the function “Create File” from the ribbon.

When you execute the Create File function, a request page is shown:

Here you can now select to export as XML in the "Export Format Type".

You can also use to export in the legacy ASCII format.

Notice the Test Submission field .

If this field is not selected the Intrastat Journal Batch will be marked as “Reported”.

If you select it, the Intrastat Journal Batch will not be marked as “Reported” and the following node and value will be added to the exported XML file:

<testIndicator>true</testIndicator>

Selecting the field also replaces the company number reference in the file with the text “XGTEST”, indicating to the Intrastat authorities that this file is a test file.
