ISO20022 generic and SEPA credit transfer in Microsoft Dynamics AX 2009, AX 2012, AX 2012 R2, AX 2012 R3 for Switzerland, Sweden, Norway, Denmark

Before you can create ISO20022 and SEPA export files, you must set up the legal entity and bank account information in Microsoft Dynamics AX.

Set up legal entity information

Use the Legal entities form to set up legal entity information for ISO20022/SEPA payments. For the legal entity initiating the payment and debtor legal entity, set up Name, Address of legal entity (make sure, ISO country code is set on Country/region of legal entity).

Organization identification

Set up company bank accounts for ISO20022/SEPA credit transfers

Use the Bank accounts form to enter the bank account information for your legal entity (Cash and bank management > Common > Bank accounts) to make ISO20022/SEPA payments for bank account for the legal entity that is requesting the transfer.

Set up vendors and vendor bank accounts for ISO20022/SEPA credit transfers

Use Vendor form to set up vendor information for ISO20022/SEPA payments (Accounts payable > Common > Vendors > All vendors).

Set up Name and Address of the vendor

Note for vendor address structure

For Switzerland, Sweden, Norway, Denmark it’s recommended that for domestic payments structured creditor address to be exported to payment file. Make sure, that you set up appropriate address format and enter Street, (Building number – for Switzerland, Denmark), Post code, City in separate fields for vendor address.

For SEPA and foreign payments, where unstructured creditor address is exported, make sure, that ISO country code is set on Country/region of vendor.

Use Vendor bank accounts form to set up information about vendor bank accounts.

Vendor bank account address identification

Make sure, the address is set up for vendor bank account, and country code of vendor bank account address is set up in Foreign trade parameters, Country/region properties tab and country/region type is assigned to it: EU, EFTA, or Third party.

Identification of SEPA payments:Payments in EUR and to bank accounts in countries with Country/region type = EU or EFTA are automatically identified as SEPA payments; Payments within country are identified as Domestic payments, all other payments (except for cheques) are identified as Foreign payments.

Vendor bank account identification

You should provide bank account identifiers and bank identifiers for a vendor bank account that is used for ISO20022/SEPA payments. Depending on the payment type, you should enter the following information:

Vendor bank identification

Intermediary agent identification

For foreign non-SEPA payments you can set up intermediary bank identification: (Vendor bank account à Setup tab)Define correspondent bank in the field Bank and for the chosen bank define:

• Correspondent bank name in the field Name
• Correspondent bank address in the field Address
• Correspondent bank SWIFT in the field SWIFT code

Cross rate identification

In Sweden, Norway, Denmark, for foreign non-SEPA payments you can set up exchange rate information: (Vendor bank account à Setup tab)

Define Exchange rate in the field Cross rateDefine Exchange rate type in the field Exchange reference.

Set up Method of payment for ISO20022/SEPA credit transfer

Use Methods of payment – vendors form to set up the method of payment.Press Payment specification button to set up payment specifications applicable for the method of payment. You can set up the following payment specifications:

Create and post invoices from vendors in usual way.

Create and export payments using ISO20022 generic payment format in AX 2012 R3

Use the Payment journal form to create and export vendor payments.

1. Click Accounts payable > Journals > Payments > Payment journal. Create or select a journal
   
   For Switzerland, Sweden, Norway, Denmark: On Tab General in the group Payment format codes fill the default values for current payment journal: Charge bearer, Service level, Category purpose. For Denmark, fill also Local instrument.
   
   The values in the Payment lines will be defaulted with the chosen values on the journal header, or with the default values from method of payments (if filled)You can change the default values for each payment line on tab Payment, group of fields Payment format codes.
2. Click Lines to open the Journal voucher form for payment journal lines.
3. Create payment lines by using Payment proposal function.
4. In the Journal voucher form, on the Overview tab, select a line.
5. For Switzerland,Sweden, Norway, Denmark: on tab Payment, you can fill fields valuable for payment initiation:
   
   Note – enter payment notes to be presented in Unstructured remittance information
   
   Tip Set up Organization administration > Default descriptions for automatic generating Payment notes with information about settled invoices.
   
   Payment ID – review or enter ID to be used in Structured creditor reference information
   
   In Switzerland, The following reference could be present depending on the payment type:
   • Type 1: Must contain an ISR reference number.
   • Type E1: Must contain an ISR reference number or "Creditor Reference" according to ISO 11649
   • Type 5: May contain "Creditor Reference" according to ISO 11649.
6. For Sweden, Norway: for foreign payments on tab Payment, you can fill codes for reporting to Central bank:
   Central bank purpose code – choose the code for reporting to the central bank (the code is exported in the tag <RgltryRptg>\<Cd> for cross-border payments).
   
   For Norway: enter also the appropriate Regulatory reporting text (the text will be exported to the tag <RgltryRptg>\<Inf> for cross-border payments).
7. Click Functions > Generate payments. In the Method of payment field, select a method of payment:
   • Generic ISO20022 CredTrans CH for Switzerland
   • Generic ISO20022 CredTrans SE for Sweden
   • Generic ISO20022 CredTrans NO for Norway
   • Generic ISO20022 CredTrans DK for Denmark
8. And then in the Bank account field, select the bank account that the payment is drawn from.
9. Click Dialog. In the Dialog form, enter information for the export file. The following table provides information about each field.

   Field	Description
   Processing date	Enter the date when the bank should process the payments. For Sweden, Norway, Denmark: If processing date should be equal to Date from payment journal line, leave the field blank.
   Remittance information SWITZERLAND	Select the format for remittance information, depending on the requirements of your country/region or bank: • Structured – Select this option to export structured vendor reference information with Payment ID • Unstructured – Select this option to export Unstructured payment notes • Default – Select this option to export either Structured vendor reference with Payment ID (when Payment ID is filled in payment journal line) or Unstructured payment notes) Note: Depending on the payment type, either structured or unstructured remittance info can be exported irrespectively from the chosen option, according to Swiss guidelines: Type 1, E1: Always Structured reference exported Type 2.1, 2.2, E2: Always Unstructured remittance information exported
   Remittance information SWEDEN,NORWAY	Select the format for remittance information, depending on the requirements of your country/region or bank: • Structured – Select this option to export Structured remittance info: Either structured vendor reference information with Payment ID Or structured referred documents with information (Payment ID or invoice number) from settled invoices/credit notes) • Unstructured – Select this option to export Unstructured payment notes • Default – Select this option to export either Structured vendor reference with Payment ID (when Payment ID is filled in payment journal line) or Unstructured payment notes)
   Remittance information DENMARK	Select the format for remittance information, depending on the requirements of your country/region or bank: • Structured – Select this option to export Structured remittance info: Either structured vendor reference information with Payment ID, Or structured referred documents with DEBI and/or PRIM references (for standard credit transfer and easy account transfer): DEBI – is Debtor ID reference, exported from the vendor card from the field Our account number PRIM – is primary reference, exported from the field Document number in Payment journal line if filled, or from the invoice number of the first invoice settled with payment journal line • Unstructured – Select this option to export Unstructured payment notes • Default – Select this option to export Either Structured vendor reference with Payment ID, if filled, Or Unstructured payment notes and (for standard credit transfer and easy account transfer) DEBI/PRIM references if they are specified Note: For payment slips, remittance info is always exported according to Danish ISO20022 guidelines irrespectively from the chosen option: GIK01: Unstructured payment notes + Structured SCOR reference: Payment ID (constant "01/") GIK04: Structured SCOR reference: Payment ID (constant "04/" + OCR unique reference (16 digit)) GIK15: Structured SCOR reference: Payment ID (constant "15/" + OCR unique reference (16 digit)) FIK71: Structured SCOR reference: Payment ID (constant "71/" + OCR unique reference (15 digit)) FIK73: Unstructured payment notes + Structured SCOR reference constant "73/" FIK75: Unstructured payment notes + Structured SCOR reference: Payment ID (constant "75/" + OCR unique reference (16 digit))
   Batch booking	Request batch booking if needed: • Unknown – not exported • No – batch booking = FALSE • Yes – batch booking = TRUE
   File name	Enter or select the file name for the ISO20022 XML file. Use the file extension .xml. The file name is also displayed on the Attending note report.
   Control report	Select this check box to print a report that contains the payment information. You can specify report options by clicking the Control report button.
   Attending note	Select this check box to print the Attending note report. You can specify report options by clicking the Attending note button.
   Payment advice	Select this check box to print the Payment advice report. You can specify report options by clicking the Payment advice button.
   Main account/customer number	Enter the main account number or the customer number. This number is displayed on the Attending note report.
   Sequence number	Enter a sequence number to identify the file. The sequence number is displayed on the Attending note report.
   Covering letter from quantity of invoices	Enter the value of the quantity of invoices, from which a covering letter report is printed.

10. Click OK.
11. In the Generate payments form, click OK to create the payment file.

When you generate payments, the payments are saved to the location that you specify in the Dialog form or to the location specified in your outbound port (for SEPA payments only). The next step is to send the .xml file to your bank. This process varies from bank to bank. Follow the instructions from your bank to submit the files to the bank for processing.

Installation information
