INTRODUCTION

This article describes that a country-specific update is available to validate the access key of a received NF-e xml document and archive the xml document as a part of the NF-e process in Microsoft Dynamics AX 2012 R2 for Brazil.

According to the NF-e process, a company that receives a NF-e is required to check the validity in the SEFAZ authority that approves the issued NF-e. In addition, the received NF-e xml has to be archived and be available for government auditing.

More Information

To validate and archive a NF-e xml, follow these steps after you install this country-specific update:
  1. Set the constraints to be used when you run the process that reads the NF-e xml from an email message at the following location:
    System administration>Setup>System>Brazil>E-mail POP client constraints
  2. Set the email accounts that receive the NF-e xml document at the following location
    Organization administration>Setup>Brazil>Configure email accounts
  3. Schedule the process that reads the inbox folders in the email accounts to identify and import pdf and NF-e xml documents that are attached in an email message at the following location:
    Accounts payable>Period>NF-e Federal>Import XML files from email
  4. Schedule the process that validates the NF-e access keys at the SEFAZ of origin of NF-e and updates the NF-e access key in Microsoft Dynamics AX 2012 R2 at the following location
    Accounts payable>Period>NF-e Federal>Inquire about NF-e access key status
    Note The limit of cancellation of "NF-e required in Inquire about NF-e access key status" process is used to revalidate the NF-e access key after cancellation limit and identify changes in status done after NF-e is received. This revalidation only happen one time after the limit of cancellation.
  5. Maintain received NF-e xml documents at the following location. You can manual validate a NF-e access key and access the received NF-e xml documents and DANFE reports.
    Accounts payable>Periodic>NF-e Federal>Received NF-e xml documents
  6. Block the posting for non-validated NF-e access key at the following location:
    Organization administration>Setup>Brazil>Fiscal establishments at the NF-e federal fast tab
  7. Inform NF-e access key at vendor invoice and post at the following locations:
    Accounts payable>Common>All vendor invoices>Vendor invoices
    Accounts payable>Common>All purchase orders>Purchase order>Generate invoice
  8. After received NF-e is posted, check the required actions for NF-e access keys at the following location:
    Accounts payable>Periodic>NF-e Federal>Posted NF-e with pending validation
    For example, consider one of the following conditions:
    • NF-e access key is posted without validation at SEFAZ.
    • Fiscal document status differs from SEFAZ status.
    • NF-e access key is posted without xml documents attached.
    • NF-e access key is posted and the register is not found in the received NF-e xml documents.

  9. Verify received NF-e xml documents and DANFE reports at the following location:
    Accounts payable>Common>Fiscal documents>All fiscal documents>Receive NF-e Federal tab
    Note In order to view the DANFE report that is attached to the fiscal document and received NF-e xml documents in pdf format, you must have adobe reader installed on the computer.
