Print Spooler service saves the NetBIOS name of the print server in Windows 7 or in Windows Server 2008 R2

Symptoms

Consider the following scenario:
  • You install a print server in a domain.
  • You use one of the following methods to locate the print server:
    • Locate the print server by using AD Discovery
    • Locate the print server by using AD Search
  • You connect to a print queue on the print server from a computer that is running Windows 7 or Windows Server 2008 R2.
In this scenario, a new network print queue is created on the computer which is named "Printer on Server". The Server part of the print queue name is the NetBIOS name of the print server. This behavior may generate a delay when you use the network printer to print documents if the client side and the print server are in different domains.

Cause

This issue occurs because the Print Spooler service on the client side stores the NetBIOS name of the print server.

Resolution

To resolve this issue, install this hotfix on the affected Windows 7 or Windows Server 2008 R2-based computer. After you install this hotfix, the Print Spooler service on the client side stores the fully qualified domain name (FQDN) of the print server that is in the domain.

Note This hotfix also introduces the following changes:
  • Before you install this hotfix, the NetBIOS name of the print server is stored when the client side and the server side are located in the same domain and users connect to the server side by using its FQDN in the Devices and Printers menu.
  • After you install this hotfix, in this scenario the FQDN of the print server is stored instead.

A supported hotfix is available from Microsoft. However, this hotfix is intended to correct only the problem that is described in this article. Apply this hotfix only to systems that are experiencing the problem described in this article. This hotfix might receive additional testing. Therefore, if you are not severely affected by this problem, we recommend that you wait for the next software update that contains this hotfix.
