If you change the Show Field value for a list column in SharePoint, InfoPath queries of that column may fail

Symptoms

Consider this scenario:

You have a Sharepoint list which includes a Person or Group column. You create an InfoPath form with a data connection to the list. In this form, you add a rule that uses a query field to query the list for all items with a specific value in this column. You publish the form, and the queries are successful. 

On SharePoint, you edit the list settings. You click on the column name to edit it. Under Additional Settings, you select a different value for Show Field, and then click OK to save your changes. Now, queries from the form fail.

Cause

There are many values attached to a Person or Group. For an InfoPath query to work, the value used to query must be of the same format as the field shown. For example, consider an employee Raffaella Bonaldi with the account name Raffaella in the domain EUROPE. If the show field is "Name (with presence)", which is the default, you would set the query field to "Raffaella Bonaldi" to query for this person. If the show field is "Account", you would set the query field to "EUROPE\Raffaella" to find matching items.

Since the show field property can be modified without changing the InfoPath form, the form designer may not know that queries in the form no longer work.

Resolution

Resolve this issue by making one of the following changes:

  • On SharePoint, change the value of Show Field to match your query field.
  • In the InfoPath form template change your query field to match the file shown.
